Booking Terms & Conditions
Alpine Descents is a company registered in France, as SARL Alpine Descents; Chalet Carnauba Châtel is a trading name. "We" "Us" refers to Alpine Descents its owners and staff.
Client.
The term client refers to the person responsible for the booking (party leader) and signs the booking form. For group bookings this person is responsible for the whole booking and associated costs.
Bookings
To book please read all the terms and conditions, complete & sign the booking form and then send by email and / or by post to us. Your signature on the booking form confirms that you have read, understood and fully accept these conditions. A booking contract will exist between the client and Alpine Descents when the client receives confirmation of receipt of deposit or full payment, from Alpine Descents. On receipt of your booking form and acceptance of your booking you will receive your confirmation by email.
Confirmation and Payment
To confirm your booking a deposit of €200 per person is required at the time of booking. A booking confirmation will not be issued unless the deposit has been paid in cleared funds. We require a valid credit or debit card to guarantee the booking. The payment can be made by bank transfer, credit or debit card.
The balance will be payable ten weeks prior to your arrival date (Balance Payment Date). If you are booking within ten weeks of your arrival date, payment in full will be required at the time of booking.
If the balance of the holiday has not been paid by this time, we have the right to cancel the booking and to retain the deposit.
Failure to pay any amount due to us upon request will constitute a breach of contract, which will entitle us to cancel your reservation. In such circumstances, the relevant cancellation charges will apply
We reserve the right to re-sell the room(s) booked without notice.
Client Cancellation.
The Party Leader must confirm any cancellation by the Client in writing. The date on which we receive written notification will determine the level of cancellation charges applicable. The cancellation charges are expressed as a percentage of the total holiday cost. The costs of extras booked by you, such as lift passes, childcare, ski lessons and transfers will become immediately payable.
Please note some travel insurance polices cover the eventuality of having to cancel a holiday in certain circumstances so please check your own travel insurance policy when booking for details and check with your insurance provider that their terms are sufficient to cover your booking.
The cancellation charges are as follows
More than 10 weeks prior to commencement date – Full deposit
More than 6 weeks but less than 10 weeks - 50% of the total cost
More than 4 weeks but less than 6 weeks - 75% of the total cost
4 weeks or less - 100% of the total
Refunds (following deduction of the administration cancellation charges) will be made to the Client where the full balance has been paid otherwise. We are entitled to recover the outstanding balance from you.
We reserve the right to re-sell any part of a cancelled holiday and this does not affect its right to levy cancellation fees.
Cancellation by Alpine Descents.
In the unlikely event that we are obliged to cancel your booking for any reason (other than in the circumstances outlined in clause 1.A) we will endeavour to make alternative arrangements or offer a full and prompt refund. For the avoidance of doubt, in the case of us cancelling a booking we will only be liable to refund monies already paid by you to Alpine Descents.
1.A We will not be in breach of contract or liable for a refund where any failure to perform any of its obligations under these terms results from events, circumstances or causes beyond our reasonable control including but not limited to acts of God, war or threat of war, riots, civil unrest, terrorist activity, industrial dispute, acts of government, natural or nuclear disaster, adverse weather conditions, fire, closure of ports and airports or similar events (force majeure).
Covid-19 Cancellation policy
Covid-19 Temporary Flexible Booking Conditions for 2020/ 2021 For bookings made prior to the winter season of 2020/2021. We are very aware of the concerns that the Coronavirus pandemic (COVID-19) may cause when booking a holiday at this time. Due to this uncertainty regarding travel we have made the decision to allow flexible booking. Please note this temporary update does not change any other terms and conditions of the booking stated.
The conditions in the contract, which have been changed, are for cancellation of your holiday due to Covid-19 related issues. This includes travel disruption due to government guidelines travel restrictions and illness from Covid -19 (certificate required).
In this situation we can offer either a holiday for the season 2020/2021 or the season 2021/2022, or will refund all monies.
If a member of your group falls ill due to Covid-19 before the holiday commencement date we ask that you contact us straight away, as this will be taken as the date for policy purposes.
We ask that you check your travel insurance to see if your insurance provider covers for Covid-19, as some insurance companies may cover this.
For your protection we are following government guidelines for sanitary measures for Covid-19, this can be found on our website. We will inform you of the measures before your stay as these may change in accordance with the French guidelines.
Insurance
It is a condition of booking with us that all clients have appropriate valid travel insurance for their winter holiday from a reputable provider, this must include winter sports insurance and cancellation/curtailment cover) and personal liability, this must be in place for your party when you book your holiday.
We cannot accept responsibility if you or any members of your party do not take out adequate travel insurance or where any losses exceed the amount for which you/they can claim under your/their chosen policy. To enable us to assist you in the case of an emergency, please let us have details of your travel insurance policy at the time of booking or at the latest, on your arrival.
Catered Stays include.
All prices quoted are per person or for sole occupancy in euros. Include accommodation in Chalet Carnauba in the room type as described, all meals as specified, local taxes and VAT.
Seven nights catered stays include:-
7 x continental and/or cooked breakfast, 2 x continental breakfast on our day off.
6 x afternoon tea (except on arrival day)
5 x evening meals includes starter, main course, dessert and cheese course on your catered nights.
Wine beer and soft drinks with dinner.
Complimentary morning drop of and pick up from ski lift.
Bed and breakfast stays:-
Continental and/or cooked breakfast, (on our days off a continental will be offered)
Afternoon tea (except on arrival day)
All local taxes.
Not included.
Flights, transfers to resort, insurance, ski hire, lift passes, lessons and anything else not expressly included.
It is a condition of booking that all members of the party have suitable travel / medical insurance (including winter sports if participating).
The Chalet & Chalet facilities
Children under aged 16 (in accordance with French law) must be supervised whilst using chalet facilities. It is the sole responsibility of the Client to supervise children in and around the chalet including in the area around the chalet boundaries.
Clients using hot tub do so entirely at their own risk. We are not responsible for supervising children or guests in their use of a hot tub.
Clients (including children in the party) are required to shower before any use of a hot tub.
We can accept no responsibility for accidents/injuries or illness sustained while using the hot tub. Children under the age of 16 are not permitted to use the hot tub
We have the right to close the hot tub immediately and without notice in the event health concerns (no matter how minor). We do not offer compensation for inconvenience caused or curtailed use in these circumstances.
Clients are advised to take extra care when exiting or entering outdoor hot-tub facilities.
Check-in/Check-out
Check-in time at the chalet is 4pm on the first day of the booking. You can leave your baggage in the garage
Checkout time from the chalet is 10am although we ask that guests vacate their rooms by 9am.
Arrangements can be made to accommodate early arrivals and late departures for a discretionary charge.
Liability.
Our liability is limited to the invoiced holiday cost.
We cannot accept liability for third parties even if booked through us, eg. Transfers, ski school, equipment, ski lifts.
The client will be held responsible for damage or injury caused by a member of their booking.
The client prior to departure must pay damage costs.
Client Responsibilities
The Party Leader agrees to guarantee payment for any chargeable services requested by any member of the booking party both before and during the holiday.
We shall be entitled to recover from you the cost of any damage caused by you or a member of your party.
We would like to remind our guests that Chalet Carnauba is exclusively Non Smoking, both for guest comfort and in line with French law.
Resolving Problems & Complaints
We want your holiday to be as enjoyable as possible, but occasionally even the best-laid plans can go wrong. In the unlikely event of there being something not to your liking whilst on holiday, we aim to resolve it as quickly and amicably as possible. You must report it immediately, thereby giving us the opportunity to remedy the problem.
If we are unable to resolve matters while you are on holiday, and you remain dissatisfied, you must put your complaint in writing to us within 28 days of your return from holiday giving all relevant information. If you fail to follow this simple complaints procedure, your right to claim compensation will be affected or even lost and we regret that we cannot accept liability in respect of any complaints, which are not notified entirely in accordance with this clause.
Data Protection
We are committed to protecting your privacy. We may disclose your details such as name contact details, travel preferences and special needs/diets that you have supplied to us in relation to yourself and your travelling companions to our suppliers for the purposes of fulfilling their obligations.
We do not sell any information or our mailing list to any other organisations. Please note that security regulations may require us to provide government agencies access to data you disclose to us.
We would like to keep you up to date with late availability, offers and other resort related news items, which we feel, might be of interest. If you do not wish to receive such information, please unsubscribe from the newsletter emails or write to us at our registered office address.
Jurisdiction
The above terms and conditions form a contract between Alpine Descents and the party represented by the party leader, which is governed in all respects by French Law and subject to the jurisdiction of the courts of France.
